The purpose of the role is to ensure full compliance with regulator, authority and internal system requirements with regard to students, employees, and licensing at the respective school.
Responsibilities:
Student Registration: Obtaining all required information and registering students on Salesforce and with Education Authority before first day (contacting parents, checking EID expiry dates, follow up on pending cases)
Employee Registration: Obtaining all required information and registering required employees with Education Authority before first day (follow up with HR Officer for pending documents). Manage regulatory process for Teaching license/permit with MOE/ADEK
Parent School Contracts: ensuring 100% compliance of all GEMS parents
Transfer Certificates: Prepare and issue transfer certificates for any student/staff leavers moving to another school
School Calendar: Submit academic calendar to Edu. Authority for approval
Students Records: Prepare student report cards, enter end of year student marks, enter student data/ amendments, input student subject exemptions, student promotion, input student re-tests grades, manage student demotion process and documents, input grade amendments, final year student exam grades – send to SIMS team, manage martyr children data, process student good conduct certificates, process student Education Continuation Certificate, input student changes, school advert approvals, Year of studies for the students for Edu. Authority & MOE (equivalency), Arabic & Islamic letter for students for Edu. Authority & MOE (equivalency)
Other Regulatory tasks:
Renew School Permit (collect documents and upload to the Ed. Authority system, follow up, to send the invoice to the school accounts for permit renewal fees, print permit)
NOC Request (for Ed. Authority & trade license permit renewal, apply, send invoice to the accounts, follow up, pay the fees, get NOC approved, send to the MSO & GRC)
Activity Request (fill the online activity applications with activity details, upload required documents, follow up)
Upload school data (update school details if required) and education license to CLM
Academic head amendment (if required to change the Principal)
Fee increase documentation and approval process
Support all Regulatory inspections (planned and adhoc)
Flexibility with working hours, and working on weekends as per job requirements. This is particularly important over summer periods and before new academic year.
