About the role
We are seeking a Personal Assistant who combines exceptional organizational skills with proactive initiative to support our Management team. This pivotal role requires managing complex schedules, coordinating detailed travel arrangements, and handling a wide spectrum of both administrative and personal tasks. The ideal candidate will be adept at problem-solving, possess excellent communication skills, and pay meticulous attention to details, with proven experience in office and management support.
Key Responsibilities:
- Travel and Scheduling: Plan and book comprehensive travel arrangements, including flights, accommodations, and transportation, focusing on efficiency and cost-effectiveness. Ensure all aspects of trips are meticulously organized and managed.
- Administrative Support: Manage daily schedules and calendars for Management, arrange meetings, and provide reminders. Handle incoming and outgoing communications and correspondence.
- Personal Assistance: Act as a personal assistant to Management, including tasks related to personal errands, family arrangements, and other duties as required.
- Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion and professionalism, maintaining privacy in all transactions and communications.
Role - Specific Skills:
- Fluent in English and French
- Excellent phone etiquette and superb verbal, written, and interpersonal skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Exceptional attention to detail and the ability to work independently
- Demonstrated ability to multitask, prioritize, and manage time effectively
- Strong problem-solving skills and the ability to adapt to rapidly changing demands in an executive environment
Desired Background and Experience:
- 3-5 years administrative experience
- Proven experience in travel planning and management
