Job Purpose:
Jobholder will support ESC department in delivering a high touch and effective HR service for all EKFC employees. The incumbent will be responsible for implementing and effectively carrying out the end-to-end administration activities of the entire employee lifecycle, as well as getting involved in process improvement projects of ER/COE’s. He / she will support employee services function to ensure effective & efficient customer service for employees at all levels.
Key Result Areas:
1.Assigns work to the Human Resources Assistant and ensures that these employees meet the SLA targets with respect to leave, tickets, attendance and transfers to enable the on time completion of the ERP processes for payroll processing.
2.Resolves any concerns or disagreement on SLA or otherwise that may affect successful implementation of transaction by mutual discussion with the process owner or by timely escalation to the supervisor.
3.Raises queries with the respective process owners for any data updates that do not comply with policy or contain errors and escalating to the HR Specialist any matters that cannot be resolved directly with the process owner.
4.Maintains the SLA standards for the processes relating to systems update of new starters, internal transfers, promotions, salary increases, and changes to personal details, terminations and management reports by proactively checking the accuracy and appropriateness of the data received for entering a successful transaction on time in ERP.
5.Seeks feedback through survey and assessment conducted for new Joiners and for employees leaving the organisation and suggests areas of improvement on customer service.
6.Processes administrative transactions in accordance with HR policies and employee code of conduct. Reports cases of absconding employees and loss of passport immediately to the seniors and concerned authorities.
7.Conducts pre and post payroll verification and validation of time and attendance and take corrective actions in case of discrepancies
8.Takes a cost effective, considered stance to risk assessment linking in with the compensation and benefits teams and escalating issues as appropriate to the HR Coordinator before escalation to the relevant Centre of Excellence .Maintains accurate information while using external government portal and ensure no additional payments / fines are made on behalf of the company. Works with Immigration and Labour Departments with regard to obtaining visa formalities (new, renewal, release and cancellation) including visit visas.
9.Supports development and implementation of HR policies, procedures, standard letter templates, forms and tools. Maintain an updated HR Knowledge database; a common repository for standard operating procedures (SOPs), letter templates, forms and tools to promote operational consistency.
10.Contributes to continuous improvement efforts through improvement projects, work simplification etc. to achieve better efficiency and enhancement of internal customer experience.
11.Organizes, updates and maintains employees’ data in HR systems. Process HR transactional matters (e.g. mass HR data change, leave correction, employees certification etc). Escalates system enhancement request and bugs to HRIS team for prioritization and system troubleshooting.
Job Context:
- The jobholder will be responsible for administration of Employee shared services department.
- Job involves reviewing and verification of end to end administration process of allocated HR shared services function, answering or escalating, where appropriate, any questions from the business or employee.
- Job involves co-ordination with government authorities and medical fitness centre to ensure on boarding and visa renewal formalities and completed on time.
- He/she will be fully accountable for ensuring employee data is maintained and governed in accordance with company policy / processes and practises followed.
- He/ she will demonstrates excellent customer service skills for employees with dignity and respect. Able to diffuse problems and alert Coordinator/Manager of potential issues. Accepts responsibility and maintains confidentiality.
- He/ she will be expected to be accountable and proactive, designing and driving solutions to improve operational efficiency and client service, building and maintaining strong relationships with stakeholders including, but not limited to, Legal, Government organisations , Consulates , Police department etc.
- Keeps himself/herself informed on business operations and the relationship of delivered support/services to the business. Provides a business-based rationale for determining the necessity of incremental improvements.
Knowledge, Skills & Minimum Experience:
Education Qualification:
a) A bachelor’s degree in the relevant field or equivalent qualification with specialization in Human Resources Management.
b) Completed all necessary professional/ operational training at intermediate level.
Work Experience:
a)Minimum 4 years of experience
b)Area of Experience: Shared Services Operations environment performing a processing /administrative role where efficiency and customer experience is key.
Skills:
c)Effectively communicate service delivery issues / recommendations to management both within and outside of shared services Team
d)Service oriented with proficiency in oral/written communication and interpersonal skills
e)Must have high level of interpersonal skills to handle sensitive and confidential information and situations. Position continually requires demonstrated poise, tact and diplomacy.
