About this job:
Checking and verification of transportation invoices pertaining to rental, overtime, fuel and other charges prior to raising of Purchase Requisition in the system.
Ensure that the required PRs are raised, proper documents are uploaded and POs are issued in a timely manner and Service Entry Sheets are created in the system.
Submit to HC the request for salary deduction of traffic fines prior to raising of PR and invoice submission.
Coordinate with the vendors regarding transport invoices and follow-up with Finance Department to ensure regular monthly payment.
In-charge for updating the Vehicle Summary Report on daily basis.
Handles the application of online smart tag installation, updating and monitoring the vehicle monthly fuel limit using ADNOC Wallet.
Checking and verification of fuel detailed transactions generated from ADNOC system and submit monthly invoice to Document Control for immediate payment request.
Liaise with ADNOC for any issues that may arise on fuel and other related services.
Ensure that all Logistics records and files are accurate and regularly updated.
Ensure that the tasks assigned by the Department Manager are completed on time and that the prescribed instructions are followed.
Perform essential tasks related to logistics operation when the in-charge is on vacation by coordinating with the particular sites/department and escalating or redirecting issues to Department Head whenever appropriate.
Participate in the process review and provide suggestions in the cost reduction.
Initiates the submission of requests and purchases required by the department.
In-charge for entering and updating in SAP the vehicles assigned for every vehicle user.
Assist in the monthly entry of driver’s overtime in the system and leave application.
Maintain the confidentiality in work at all times.

Information Security responsibilities:
- Comply with Khidmah Information Security Policies
- Be aware of and fulfil their information security responsibilities
- Ensure whoever handles sensitive company information have taken the Security Awareness Training
- Know how to report a security incident (to IT ServiceDesk or InfoSec).
- Not Disable his/her OS firewall and/or Antivirus
- Restrict use to authorized purposes, Protect access accounts, privileges, and associated passwords.
- Accept accountability of his/her individual user accounts, and maintain confidentiality
Qualifications:
- Bachelor of Science in Customs Administration or Business Administration or a relevant field.
- Logistical certification is a plus
- Health & Safety certification is a plus
- Background in SAP ERP or Oracle systems
- Adobe Acrobat Application.
- Advanced skill in MS Office Applications (Excel, Word, PowerPoint, Visio and Publisher).
- 3-6 years of experience in procurement or relevant field.
- 3-6 years of in-depth experience in Logistics, Brokerage, Fleet Management, and Freight Forwarding or relevant.
- Preferrable experience in FM Industry.
