Position Overview:

As the Executive Assistant, you'll be the backbone of our executive leadership team, ensuring operations run smoothly and priorities are aligned. You will work closely with senior leaders, providing high-level administrative support, managing schedules, and ensuring efficient communication across the organization. Your role is essential in helping leadership focus on strategy by expertly managing the details.

Key Responsibilities:

Calendar & Schedule Management: Maintain and coordinate complex calendars, scheduling meetings, and managing travel arrangements across time zones
Communication Management: Handle email correspondence, draft communications, and act as a liaison between executives and internal/external stakeholders
Project Support: Assist in organizing and executing special projects, including tracking deadlines and following up on deliverables
Meeting Preparation: Prepare agendas, presentations, and meeting materials; take notes and ensure action items are tracked and completed
Travel Coordination: Plan and organize travel itineraries, accommodations, and transport for executive travel
Office Administration: Support with office operations, vendor management, and organizing events as needed
Confidentiality & Discretion: Handle sensitive information with the utmost discretion and professionalism

Requirements

Qualifications:

Proven experience as an Executive Assistant or in a similar role supporting senior leadership
Strong organizational skills with exceptional attention to detail
Excellent communication and interpersonal skills, both written and verbal
Proficiency in productivity tools like Microsoft Office, Google Suite, and scheduling software
Ability to manage multiple priorities and work under pressure in a fast-paced environment
Self-motivated and proactive, with a problem-solving mindset
Experience in handling confidential information with professionalism
Flexibility to work across time zones and adapt to changing priorities
