We are currently recruiting for an Assistant Facility Manager – Total Facilities Management Services, to join our Integrated Facilities Services team in Dubai.
Scope: The assistant facility manager is responsible for overseeing all aspects of the total Facilities Management (TFM) retail contract related to soft and hard services, ensuring the delivery of high-quality cleaning and MEP services, maintaining client satisfaction, and managing the staff efficiently. This role requires strong leadership, organizational, and problem-solving skills to ensure that all services provided to the client are conducted to the highest standards.
Financial
- Ensure daily deployments to be maintained as per the contractual agreement
- Ensure invoices information’s and client approvals to share to within the stipulated time frame
- Ensure to monitor all contract spends under the budgetary line
- Ensure contractual SLA & KPIs are maintained as per scope
- Identify and implement cost saving initiatives without compromising on service standards
- Manage the inventory of cleaning and MEP supplies and equipment ensuring adequate stock levels are maintained
Customer
- Responsible for the coordination with all internal stake holders for new contract mobilization
- Maintain healthy and effective business communication with Internal department
- Develop and maintain a good working relationship with client and hold regular meeting to ensure the smooth running of the project.
- Timely actions on client escalations and other operational needs
- Identify and addressing any operational challenges or issues that arise, implementing solutions to improve the efficiency.
- Identify opportunities for process improvements and implement innovative solutions to enhance efficiency and effectiveness
- Ensure all services provided comply with health and safety regulations and company policy
- Provide training of the staff on safe practice and proper use of chemicals and equipment
- Communicating with the client and mall management in case of any operational regulation’s changes
Process
- Ensure the work schedules to be created in line with contractual scope for a seamless delivery
- Maintain, Monitor, and review all service level agreements within the contract scope of work monthly basis
- Report any service variations to the contract to the account manager and ensure that these are reviewed and agreed with client
- Prepare monthly and weekly reports
- Effective utilization of CAFM systems
- Maintain accurate records of cleaning and MEP activities of the staff performance inventory levels and financial performance
- Prepare regular reports for senior management on operational performance, client satisfaction and financial metrics
- Ensure all contract documentation related to service is up to date and compliant with company polices and regulatory requirements
- Conduct regular inspections on the provided services to ensure quality standard are met
- Develop and maintain a system for client feedback to continuously improve the service delivery
