JD:
• Inventory Control: Maintain accurate inventory levels, ensuring that stock is replenished efficiently while minimizing excess.
• Liaison with Central Purchasing: Coordinate with the central purchasing department to ensure timely and cost-effective procurement of goods. Communicate product needs, vendor updates, and delivery schedules.
• Vendor Relations: Foster and maintain strong relationships with local vendors, sourcing high-quality and sustainable products.
• Stock Auditing: Conduct regular audits of stock levels, verifying that records are up-to-date and accurate.
Logistics and Supply Chain:
• Receiving and Distribution: Oversee the receiving of goods and ensure proper storage according to hotel standards. Monitor the distribution of stock to different departments, ensuring all needs are met.
• Logistics Coordination: Handle logistics related to the transportation of goods from suppliers to the hotel, ensuring timely deliveries and solving any shipping or customs issues that arise.
• Product Quality Control: Verify the quality of goods upon delivery, ensuring compliance with hotel standards and sustainable sourcing practices.
Administrative and Compliance Responsibilities:
• Bank Transactions: Handle bank-related tasks, such as deposits, withdrawals, payments, and other transactions in coordination with the hotel’s finance department.
• Local Government Liaison: Act as the point of contact for local government matters, ensuring compliance with all local regulations, obtaining necessary permits, and handling any inquiries or requirements from government authorities.
• Record-Keeping: Maintain accurate and organized documentation related to inventory, purchasing, logistics, and administrative tasks.
Customer and Team Expectations:
• Guest Relations: Provide guests with detailed product knowledge, assisting them in their selections, and offering a personalized shopping experience.
• Collaboration: Work closely with the boutique shop staff to ensure smooth day-to-day operations, including effective product displays, restocking, and customer service.
• Training and Development: Assist in training new team members in inventory management, logistics, and customer service.
Cost Management and Profitability:
• Cost Control: Monitor and manage costs related to purchasing and logistics. Identify opportunities for savings without compromising product quality.
• Revenue Maximization: Assist in identifying potential areas for sales growth by ensuring optimal stock levels of popular and profitable items.
General Responsibilities:
• Reporting: Provide regular reports to management on inventory levels, purchase orders, vendor performance, and administrative matters.
• Health & Safety Compliance: Ensure that all products comply with health and safety regulations, following hotel and local government guidelines.
• Other Duties: Perform any additional tasks as assigned by management, demonstrating flexibility and commitment to the hotel's success.
