Job Description
We are currently looking for an Admin Officer to be based in Doha.
Key Responsibilities
- Job registration, ensure correct invoicing entity details input in BOSS (Back Office System Solutions)
- Ensure all jobs are invoiced promptly and correctly.
- Verification of rates on the invoice against the quotations or per contracts agreed with client.
- Draft invoice to be prepared as per the rates agreed with the clients and subsequently finalize upon approval.
- Dispatch of documents/samples by courier as appropriate by coordinating with freight forwarders.
- Archiving of job files for long term retention as per company policies. Filing & labeling of job files for archiving
- Dispatch of inspection/analysis reports & invoice to client via e-mail
- Credit control/Debt control – Ensure timely follow up to collect of payments from clients.
- Preparation and updating Operations/ Laboratory Monthly Revenue details, unbilled revenue and Work in progress details to compute the accruals.
- Support Operations and Laboratory in tender preparation.
- Compliance to HSE policies & procedures, work in accordance with ISO 9001:2015 and ISO 17025:2017 quality systems.
- Provides administrative support to Laboratory and Operations Control on the day-to-day activities.
- Assist the operations in registration of jobs/samples in appropriates files
- Other duties as assigned.
Qualifications
- Diploma/ degree in any discipline with excellent computer skills.
- Minim 1-3 years of relevant experience.
- Good written/oral English communication skills.
- Knowledge of Invoicing/finance/credit control.
- GCC experience preferred.
