MAIN PURPOSE
Assisting the Executive Assistant in all the tasks related to office administration, in coordination with the other team members of the Maison.
Key Responsibilities
Assisting in:
- Managing schedules and agendas for Executive Committee members
- Organizing trips, meetings, and conference calls
- Preparing files and gathering all necessary information on a request basis
- Maintaining the file and assisting in shipping gifts during special events for President’s guests
General Administrative Tasks
- Prepare requested letters incl change of title letters, promotions, extension of contracts etc
- Update managers on probation period end date and prepare confirmation of probation letter
- Respond to employees’ inquiries on HR admin related topics, systems, programs, processes
Liaising with the local and international teams, Richemont teams, and external contacts for:
- Announcements/flow of information
- Support International Executive Committee members visiting Dubai
- Support President's special guests
Provide Support For Organizing Events Such As
- Team Building
- Regional events
- Office organisation and follow-up with employee
Any other general administration and coordination needed as requested by the Executive Assistant.
PROFILE
- Previous experience working in a similar capacity/role
- Good knowledge of MS Office; Word, Excel, PowerPoint, Teams, etc.
- Strong organization skills, ability to work to deadlines, and manage workload efficiently
