Overview
Tokamak Energy is looking for a experienced project coordinator/controller working directly for the Head of Portfolio. The P3MO (Portfolio, Programme, Project Management Office) is its early maturity and there is a large amount of administrative management required to make it successful . The role will be at the forefront of supporting the portfolio and other project coordinator and programme and project managers. The role will support with the organisation of the monthly reporting, ensuring the documentation are in place. The role will also support our continuous improvements activities and support with templates, standardisation, and processes across the business.
Working arrangements
Please note this role does offer hybrid working, our model sets out a minimum 60% onsite / 40% home working split an option.

Responsibilities
- Execute project management administrative tasks
- Prepare and manage portfolio management documents
- Schedule stakeholder meetings, support with meeting preparation and meeting minutes and actions
- Support programme and project managers and team members to help them complete project tasks
- Foster cross-team collaboration across the portfolio and within the organisation
- Train engineers and new PMs with regards to PM tools and processes
- Support the PMO (project Management Office with finalising an developing back-end processes and ways of working, alignment of templates and standardisation across the portfolio
Requirements
- You have a passion for organisation and administrative management
- You are autonomous, organised and are able to hold people accountable
- You are able to identify areas of opportunities to operate more efficiently and you can support with cross programme best practices
- Ensure the agreed project management methods, standards and processes are maintained throughout the project lifecycle
- Co-ordinate the production of all reports and support the head of portfolio and programme/project managers with producing project summary reports
- Advise and assist project team members in the application of project procedures, best practice, disciplines and recording and reporting standards
- Maintain risk and issue logs and change control records
