To provide secretarial, administrative and office management support to a manager / department, according to internal guidelines, in such a way that it enables the manager / department to perform their responsibilities in an effective and efficient way.
Responsibilities
- Ensure administrative processing of information and documentation, so that documents are easily accessible
- Respond to routine requests using form letters or emails and to more unique/specific requests by editing templates to create customized responses
- Manage agenda’s, appointments and travel arrangements of manager(s) and consult with manager(s) about priorities, scheduling issues and solutions
- Collect, control, and process data, execute changes in the assigned administration as well as manage this administration
- Receive and dispatch incoming questions/information. Inform and communicate in- and external stakeholders about administrative processes and services concerning the area of responsibility
- Monitor progress and quality of administrative processes and/or data and, if needed, execute changes considering the set goals and objectives
- Plan, host and organize meetings, take down minutes and ensure distribution and guard and follow up on action points and deadlines
- Prepare and organize events, ensure all logistical event matters, host (international) participants. Oversee and co-ordinate the course of the events
Qualifications
- Bachelor's degree or equivalent
- Ability to handle multiple tasks while staying organized
