The Role;
As the office manager at Aspexx Digital, you will be the driving force behind the efficient and seamless functioning of our operations, office, and leadership team.
This is a key role where you will be an integral part of Aspexx’s next phase of growth.
You will work closely with the leadership team to strategise, implement and optimise operational processes across the business. With a main focus on administrative support, managing office operations, process optimisation, and overall operational strategy.
This role has a clear progression plan within the business, with the opportunity to develop into an Operations leader within a few years.
Day to Day;
- Coordinate and oversee office operations and procedures, ensuring organisational effectiveness and efficiency that aligns with the company's vision and goals
- Identify and implement process improvements to enhance efficiency and effectiveness across the organisation.
- Administrative support for both managing partners within the business
- Coordinate and schedule meetings, appointments, and travel arrangements
- Create, manage and organise all Aspexx documents/files
- · Collaborate with the team to ensure we are integrating and optimising our current recruitment tools and platforms.
- Help manage the company CRM system
- Support with invoicing, budgeting and expense tracking
- Monthly reporting
- Responsible for organising employee visas and medical insurance
- Support with event and meetup planning
- Point of contact for key partners and vendors
Requirements
- Proven operations, office management, administrative and assistant experience
- Knowledge of MS Office Tools and programs
- Excellent written and verbal communication
- Knowledge of the Dubai visa process
- Knowledge of the UAE Labour Law
- Attention to detail with the ability to solve problems
- The ability to multi-task and prioritise workflows
- A background within a recruitment company would be a huge benefit
- Experience working with key stakeholders and leadership teams
- Ideally a Degree or Higher Education certificate
- 3 years working within a consultancy, agency or start-up environment
