Job Purpose
The Admin Officer - RTA Transactions - will be responsible for managing and coordinating all activities related to RTA smart traffic systems and associated processes. This includes vehicle registration, de-registration, ownership transfer, fines management, and communication with internal departments. The role requires meticulous attention to detail, strong organizational skills, and effective communication abilities.

Accountabilities
1. RTA Smart Traffic System Transactions
- Handle all RTA smart traffic system transactions, including:
- Vehicle registration (new and renewal).
- Vehicle de-registration.
- Ownership transfer (within emirates and to other emirates).
- Export of vehicles.
- Ensure compliance with RTA guidelines and procedures for all transactions.
- Maintain accurate records of all transactions in relevant databases and systems.
- Liaise with RTA representatives for resolving transaction discrepancies or issues.
2. Traffic Fines Management
- Regularly update the traffic fines excel sheet with new entries.
- Allocate new fines to respective vehicles and departments as required.
- Remove paid fines from records and ensure proper documentation is filed in the fines folder.
- Monitor and report on outstanding fines to ensure timely resolution and payment.
3. Records and Documentation
- Maintain up-to-date and accurate records of all RTA-related transactions.
- Ensure all documents, including registration certificates, de-registration certificates, and fines-related paperwork, are properly archived.
- Generate periodic reports on RTA transactions, fines, and compliance for management review.
4. Internal Correspondence and Communication
- Act as the primary liaison between internal departments (e.g., Sales, Leasing, and Legal) for RTA-related matters.
- Provide timely updates and reminders to departments regarding transaction deadlines, fines, and compliance requirements.
- Address queries and concerns related to RTA processes in a professional and efficient manner.
5. Process Improvement and Compliance
- Identify opportunities to streamline and improve RTA transaction workflows.
- Stay updated on changes in RTA policies, regulations, and smart traffic system functionalities.
- Ensure all processes adhere to local laws and regulations.
6. Administrative Support
- Provide administrative support to the legal and compliance teams as needed.
- Assist with additional duties related to vehicle registration and traffic fine management as assigned.
Personal Development
Maintain and develop own skills and technical knowledge, agree a development plan with line manager.
Arrange an annual appraisal, with your line manager in accordance with the company’s appraisal process.
Attend regular staff meetings, using them as a basis for the communication of any ideas for improvement in processes or cost savings.
