Role Overview:
As our Operations Assistant, you will play a key role in supporting team members with everyday operations, and assisting with conference and event planning, logistics and creative projects. We are looking for a creative, dynamic, detail-oriented, and proactive individual who works well independently and in a team, and thrives when handling multiple projects and a diverse set of stakeholders. The role will offer you the unique opportunity to work with a growth stage tech company across several different teams and sub-functions, getting insight into business operations and processes with no specific team silo!
Your responsibilities will include:
- Support employee engagement initiatives, including organising team-building activities and events that cater to our diverse team.
- Maintenance and planning of the merchandise inventory, coordinating with teams to collect requests and place orders.
- Coordinate travel arrangements for employees, including booking hotels and transportation.
- Assist in organising meetings and events, including scheduling, sending invitations, and arranging catering.
- Provide administrative support to the executive team as required.
- Creating and maintaining project plans for conferences - and internal events!
- Handling invoices from vendors, tracking payments, and coordinating with the finance department.
- Ordering and tracking IT equipment (laptops, peripherals, software licenses) for new hires or replacing existing gear.
You will be part of our Operations Team. ToucanTech also has staff working in design, product, data, sales, marketing, and customer support.
Required Skills
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficient in MS Office Suite, Google Docs, and Airtable.
- Creative approach, mindset and passion with an eye for design.
- Ability to multitask, prioritise, and meet deadlines.
- Strong interpersonal skills and the ability to work effectively in a team.
- Degree from a good university.
