We are a Semi-Government Organization looking for a competent, detail-oriented, and organized Senior Executive Office Manager who will be primarily responsible for the administration of the Executive office and the Board of Directors and will act on behalf of the CEO in several meetings and occasions.
The Executive Office Manager supports the operations CEO in coordinating overall planning and preparing and following up on executive team meetings.
In this role, you should be highly perceptive and organized. You should also have the ability to communicate effectively.
Role and Responsibilities:
• Act as Board Secretary for the organization's Board and Committee meetings. This includes but is not limited to preparing meeting agendas, recording meeting minutes, and collating board reports and presentations. • Communicate meeting reminders and board reports with relevant Board and Committee members including their Assistants. • Confirm meeting venues, arrange refreshments as well as create and distribute comprehensive minutes including board resolutions to all members post-meeting. • Manage, coordinate, and maintain the calendar of the CEO including appointments, meetings, and travel. • Responsible for organizing internal and external meetings on behalf of the CEO ensuring all requirements are met e.g. meeting venue, equipment, presentations, prepare agendas. • Provide executive and administrative support to the CEO. • Responsible for organizing CEO travel and logistics including flights, visa requirements, hotel accommodation, car rental, meeting schedules while traveling, and completing expenses. • Monitor and respond to incoming communications (including complaints) to the CEO’s office including phone calls, emails, and walk-ins, ensuring correct department distribution. • Secretarial support for meetings as and when required by the CEO, including drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues, and arranging refreshments. Writing and distributing comprehensive minutes and action points to all members post-meeting. • Drafting and writing high-quality reports and presentations, as required by the CEO.
Skills and Experience:
• +10 YOE experience in similar positions. • Detail-oriented, while able to seize the big picture. • Good judgment and interpersonal skills. • Good organizational and planning skills. Ability to meet short deadlines. • Flexibility, and ability to adjust priorities in a fast-moving environment. • Integrity and ability to manage confidentiality. • Demonstrated ability to capture key elements and decision points, supported by good communication skills (verbal and written). • Self-starter, able to gather critical information. • Effective team player, able to manage stress and positively shape his/her environment
