Key responsibilities and objectives:
▪ Greet and welcome visitors in a warm and professional manner, ensuring they are properly directed to their destination.
▪ Answer, screen, and forward incoming phone calls, taking messages when necessary.
▪ Maintain a clean, organized, and presentable reception area at all times.
▪ Manage visitor check-in and check-out procedures, including maintaining visitor logs and issuing visitor badges.
▪ Notify employees of visitor arrivals and coordinate with security as needed.
▪ Provide information and assistance to visitors, ensuring a positive experience.
▪ Assist with scheduling and coordinating meetings, including booking meeting rooms and arranging refreshments.
▪ Handle incoming and outgoing mail, courier services, and deliveries.
▪ Manage office supplies inventory and place orders when necessary to ensure availability of essential items.
▪ Respond to inquiries from employees, visitors, and callers with accurate information and a helpful attitude.
▪ Handle customer and client inquiries or direct them to the appropriate department or individual.
▪ Address and resolve basic issues or escalate them to the relevant department for further assistance.
- Compliance & Confidentiality:
▪ Ensure compliance with company policies, including visitor management and security procedures.
▪ Handle sensitive information with confidentiality and discretion.
Requirements
- High school diploma or equivalent; a diploma in Office Administration or a related field is preferred
- 1.5 - 2 years of experience in a receptionist, administrative, or customer service role
- Previous experience in a corporate or professional office environment is a must
- Strong communication and interpersonal skills, with the ability to interact effectively with employees, visitors, and callers
- Knowledge of Saudi cultural norms and practices in a corporate setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment
- Fluency in Arabic and proficiency in English is a must
