Let's give you a quick sneak peek into the life of an Administration Executive
As Administration Executive you will be expected to perform a variety of duties and be the point of contact for employees, providing smooth administrative support.
Things you will be doing as an Administration Executive
- Fleet Operations Management
- Oversee daily centralized fleet and preparation of annual budget related to fleet.
- Deal with fleet’s repairs and maintenance.
- Track and analyze fuel related expenses and identify opportunities for cost reduction.
- Ensure fleet operations comply with local laws, including licensing, vehicle registration and insurance (including but not limited to accidents)
- Driver Management and Training:
- Train, and evaluate drivers, ensuring they follow company policies and safety standards.
- Implement driver safety programs and monitor driver behavior (e.g., speeding, idling).
- Communication and SIM Management:
- SIM Management: Oversee the issuance, activation, and deactivation & invoice processing of SIM cards, ensuring proper documentation and reporting
- Monitor and manage telecommunication costs, analyzing SIM card/ internet usage.
- Utility Management (K-Electric, KW&SB, SSGC & PTCL):
- Oversee the management of utility services (electricity, water, and gas) for all company offices and facilities.
- Monitor billing and consumption for K-Electric, KW&SB, and SSGC services, ensuring accurate payments and addressing any discrepancies.
- Coordinate and ensure timely resolution of issues such as utility breakdowns, service disruptions, or shortages affecting the company’s operations.
- Liaison with Government Agencies:
- Serve as the primary point of contact between the company and government agencies, including local, provincial, and federal bodies.
- Ensure compliance with government regulations, permits, and documentation related to company operations including but not limited to Trade License, Parking tax, Civil Defense.
- Manage renewal processes for licenses, NOCs, and other legal documents required for business continuity.
- Compliance and Regulatory Management:
- Ensure compliance of BRC, ISO, etc. related to FMCG sector.
- Prepare and submit any required reports, applications, or documents requested by government or relevant authorities
- Compliance with local laws and FMCG industry standards as per HSE Guidelines
- Ensure that safety protocols are strictly followed, including the use of personal protective equipment (PPE) and safe working conditions for all employees.
- Investigate any incidents, accidents, or injuries that occur, and implement corrective actions to prevent future occurrences.
- Ensure compliance with environmental regulations related to waste management, energy consumption, and pollution control, minimizing the company's environmental footprint.
- Lead HSE training programs for Admin staff to educate employees on safety protocols, emergency procedures, and environmental conservation.
- Canteen Management and water management
- Supervision of Medical Coordinators for medical facilities
- Goods Movement/ Dispatch Registers of all entry/exit points
What we are looking for in you?
- BBA/MBA – preferably in HR from a reputable local & foreign Institute
- Minimum 2 to 4 years of experience in the Food/FMCG industry
- Familiarity with fleet management software and vehicle tracking systems.
- Familiarity of utilities management
- Knowledge of vehicle and fleet management
- Strong analytical & budgetary skills
- Knowledge of laws & regulations
- Hands-on understanding of Audits
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Excellent communication & interpersonal skills
