Responsible for facilitating communications within Melt Shop Head office and interactions with senior management and employees. Answering and redirecting phone calls, scheduling meetings and providing personalized support for other employees in their office. Also perform tasks such as keeping files, booking meetings, setting appointments and managing day-to-day administrative and planning activities for plant management.
Major Responsibilities & Duties performed:
- Organize company documents into updated filing systems.
- Maintaining files and records with effective filing systems with proper classification.
- Answering calls, taking messages and handling correspondence.
- Typing, preparing, collating reports, memos and letters.
- Assist in preparing presentations, spreadsheets and reports.
- Assist in organizing meetings which may include scheduling, preparation of agendas, taking minutes, conference room reservation, stationery, etc.
- Maintain calendar appointments.
- Develop and maintain office support and ensure tasks are performed on time and efficiently for effective office management.
- Follow up tasks and requests as requested from/for other departments which may include Admin Service requests, IT, SAP, PRs, POs, reporting, posting,
- Act as a focal point to coordinate for administrative and services for all department, including special and confidential assignment as required.
- Maintain offices physical arrangement and to ensure conductive working environment.
- Greet visitors and direct them to the appropriate departments or individuals.
- Maintain confidential department files and records.
- Comply with Safety, Health and Environment to maintain workplace.
Other Responsibilities:
- Assist in preparation of documents and correspondence.
- Assist in distributing incoming calls, mail and intercompany mail.
- Supporting other teams with various administrative tasks.
- Participate in company’s social activities as required.

Reporting to Melt Shop Head

Competencies:
Clerical experience is preferable but not necessary. Knowledge of specific software programs used within organizations such as Microsoft applications. Experience in data processing, bookkeeping and other skills that the general manager needs to have performed with attention to detail. Ability to work independently as well as teamworking skills. Organized and professional attitude and appearance. Excellent written and verbal communication skills in Arabic and English. Experience maintaining and prioritizing manager’s calendar and appointments. Good skills of presentation and public relations.
